4. Purpose and legal grounds for data processing

We use cookies on our website. These are small files that your browser automatically creates and that are stored on your device (laptop, tablet, smartphone, etc.) when you visit our site. Cookies do not harm your device and do not contain viruses, Trojans or other malware.
Information is stored in the cookie, which is based on the specific device used. However, this does not mean that we immediately become aware of your identity.

This website uses Google Maps to display interactive maps and to create journey descriptions. Google Maps is a map service provided by Google Inc. 1600 Amphitheatre Parkway, Mountain View, California 94043, USA. By using Google Maps, information about your use of this website, including your IP address and the (start) address entered when activating the route planner function, can be transferred to Google in the USA. If you call up a web page of our website that features Google Maps, your browser will establish a direct connection to Google's servers. The map content is directly transmitted from Google to your browser, where it is incorporated into the website. We therefore have no influence over the scope of the data collected by Google in this way. According to what we know, this includes at least the following data:

We have no influence over any additional processing or use of the data by Google, and cannot therefore assume any responsibility in this regard.

7. Secure transmission of your data

On the basis of Art. 6 Par. 1 (1) letter f of the GDPR, we use the social plug-in of the social network YouTube on our website in order to raise the profile of our company. The commercial purpose behind this can be regarded as a legitimate interest within the meaning of the GDPR. The responsibility for operation in conformity with data protection must be guaranteed by the respective provider. Our integration of this plug-in is carried out by way of the so-called two-click method in order to give visitors to our website the best possible protection.
YouTube
We use YouTube to incorporate videos into our website among other things. YouTube is operated by YouTube LLC and has its headquarters in 901 Cherry Avenue, San Bruno, CA 94066, USA. YouTube is represented by Google Inc. based in 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA.
We use plug-ins of the provider YouTube on some of our web pages. If you call up the pages of our website containing such a plug-in – for example, our media library – a connection to the YouTube servers will be established and the plug-in will be shown. Information about which of our web pages you visited will be sent to the YouTube servers. If you are logged in to YouTube as a member, YouTube will assign this information to your personal user account. When using the plug-in, e.g. by clicking the start button of a video, this information will also be assigned to your user account. Some personal data are needed for the establishment, performance and termination of the obligation and the fulfilment of the related contractual and statutory obligations. The same applies to the use of our website and the various functions it provides.

For online training courses, we collect and process the following data:

  • ROEMHELD may use the email address to send marketing-related and non-marketing-related information. It can be used, for example, to send information about seminars, webinars, or training courses.
10. Automated individual decision-making

We do not use purely automated processing to make decisions.

11. Appendix
Links to other providers

We use the widespread SSL (Secure Sockets Layer) technology on this website, in conjunction with the highest level of encryption supported by your browser. This is generally 256-bit encryption. If your browser does not support 256-bit encryption, we will use 128-bit v3 technology instead. You can identify whether a single page of our website is encrypted from the locked key or lock symbol displayed in the lower status bar of your browser.
We also take appropriate technical and organisational security measures to protect your data against accidental or intentional manipulation, partial or total loss, destruction, and against unauthorised access by third parties. Our security measures are continuously improved in line with technological developments.

13. User profiles/web tracking methods

Subject to your consent, this website uses the MATOMO web tracking tool. This tool captures and systematically evaluates your interactions, as a user, with our website.

The legal basis for the processing of your personal data is your consent in accordance with Art. 6 (1)(1)(a) EU GDPR. You can revoke your consent at any time by clicking on the “Cookie Settings” link in the footer of the website.

The purpose of processing your personal data using Matomo analytics is to analyse how visitors interact with our website. By evaluating the data obtained here, we can optimize our website and make it more user friendly.

Matomo will use this information on our behalf to evaluate how our website is used by its users, to compile reports on the activities performed on the website and to provide us with other services related to the use of this website and the internet. In doing so, pseudonymous user profiles can be created from the processed data.

We only use Matomo with IP anonymisation enabled.

We delete or anonymise the data collected by Matomo as soon as we no longer require it for our purposes. This is the case after 12 months.

14. Social plugins from social networks
Links to social networks

You will find links to the social media services of YouTube, Instagram, LinkedIn and Xing on our website. Links to the websites of social media services can be recognized by its respective company logo. If you click these links, you will be redirected to ROEMHELD's company profile on the respective social media service. When you click on a link to a social media service, a connection to the servers of the social media service is established. This informs the servers of the social media service that you have visited our website. In addition, further data are transferred to the provider of the social media service, for example:

  • Address of the website where the activated link is located
  • Date and time of the website visit or link activation
  • Information about the browser and operating system used
  • IP address

If you are already logged in to the relevant social media service at the time you activate the ink, the provider of the social media service may be able to determine your user name and, if applicable, even your real name from the transmitted data and assign this information to your personal user account with the social media service. You can prevent this association with your personal user account by logging out of your user account beforehand.
The servers of social media services are located in the US and other countries outside the European Union. Provided you have given your consent, this website uses the analysis and conversion tracking technology of LinkedIn Inc. 15. Cloudflare CDN

Cloudflare logs events that occur on our network.

Some of this log data contains information about visitors and/or authorised users of a customer's domains, networks, websites, application programming interfaces (“APIs”), or applications, including the Cloudflare product, Cloudflare Zero Trust, where applicable.

This metadata contains extremely limited personal data, mostly in the form of IP addresses. We process this type of information on behalf of our customers in our data centres in the US and Europe for a limited period of time.

Cloudflare Germany GmbH currently complies with the following standards: ISO 27001, ISO 27701, ISO 27018, SOC 2 Type II and PCI DSS Level 1 compliance.

Cloudflare Germany GmbH is also certified according to the EU Cloud Code of Conduct and the German standard C5 2020.

16. Contact form/contact via email

Our website has a contact form that can be used to contact us electronically. If you write to us using the contact form, we will process the data you provide in the contact form in order to contact you and respond to your questions and requests.

The principle of data minimization is observed here, as you only need to provide the data that is essential in order to contact you. This includes your name, email address, company name and the message field itself. In order to address you personally, we also process your surname, first name and form of address. In addition, your IP address is processed for technical reasons and for legal protection. All other data are optional and can be provided voluntarily (e.g. to provide a more personalized response to your questions).

If you contact us by email, we will process the personal data provided in the email solely for the purpose of processing your request.

17. Webinar registration

You can register for certain webinars on our website.

In this context, we collect and process the following data:

  • First name and surname
  • Company
  • Email address
  • Form of address (optional)
  • Further comments (optional)

The data collected at this time will be processed exclusively for the purpose of processing your registration and coordinating your participation in the respective webinar. It will be deleted as soon as the purpose for data collection no longer applies, whereby statutory retention periods must be taken into account accordingly. Within our company, we ensure that only those persons who need your personal data to fulfil contractual and statutory obligations receive it. As part of the registration process, your data will also be forwarded to the following recipients for the purpose of conducting the webinar: Centralized event seminar coordination [email protected]

No data are transferred to third countries (countries outside the EU/EEA).

18. Newsletters
(Art. 6 (1)(a) EU GDPR)

On our website you can subscribe to a free newsletter. The email address, form of address and name you provide when registering for the newsletter will be used to send you a personalized newsletter.

The principle of data minimization is observed here, as only email address, form of address and your interests are marked as mandatory fields. For technical reasons and for legal protection, your IP address is also processed when you subscribe to the newsletter.

You can, of course, unsubscribe at any time using the unsubscribe option provided in the newsletter and thus revoke your consent.

ROEMHELD newsletters contain tracking pixels. A tracking pixel is a miniature graphic that is embedded in emails sent in HTML format to enable log file capture and analysis. This allows a statistical evaluation of the success or failure of online marketing campaigns to be carried out. Using the embedded tracking pixel, ROEMHELD can recognize whether and when an email was opened by a data subject and which links in the email were clicked by the data subject.

The personal data collected via the tracking pixels contained in the newsletters is stored and evaluated by the data controller in order to optimise newsletter distribution and to tailor the content of future newsletters with greater accuracy to the interests of the data subject. This personal data will not be passed on to third parties. Data subjects are entitled to revoke their separate declaration of consent given via the double opt-in procedure at any time. After revocation, this personal data will be deleted by the controller. ROEMHELD automatically interprets unsubscribing from the newsletter as revocation.

19. Advertising to existing customers 
(Art. 6 (1)(f) EU GDPR)

ROEMHELD is interested in maintaining its customer relationship with you and sending you information and offers about our products, services and events. We therefore process your data in order to send you relevant information and offers by email or postal service.

If you do not wish to receive this information, you can object to the use of your personal data for direct marketing purposes at any time. This also applies to profiling insofar as it relates to direct marketing. If you object, we will no longer process your data for these purposes.

20. Use of Salesforce Sales Cloud and Marketing Cloud

Data collected by us via our websites (e.g. in forms for purchases, newsletter subscriptions, seminar and trade fair visits) is currently stored in the Salesforce Sales Cloud (salesforce.com Germany GmbH, Erika-Mann-Str. 31, 80636 Munich) on servers in Germany and France (or generally, in the EU) and used to send order confirmations and shipping notifications and for advertising purposes.

We use Salesforce Marketing Cloud to send our newsletters, automated emails (e.g. welcome emails) and for advertising campaigns on social networks and online advertising on other websites. For this purpose, the newsletter subscriber's data are transferred from Sales Cloud to Marketing Cloud. The data from the Salesforce Marketing Cloud is stored and processed on Salesforce servers in the USA.

However, Salesforce undertakes to comply with the nine standard contractual clauses of the EU Commission in accordance with Art. 46 (2)(c) EU GDPR and binding internal data protection policies in accordance with Art. 46 (2)(b) and Art. 47 EU GDPR (known as binding corporate rules), even when processing data outside the European Union.

In addition, Salesforce has self-certified under the EU-US Transatlantic Data Protection Framework.

This means that Salesforce has committed to maintaining a level of data protection comparable to that in the European Union.

21. Photos and audio recordings at events

We take photos and make recordings (photos, videos, etc.) at trade fairs and events. We use these for our public relations, company publications (e.g. customer and employee magazines, brochures, flyers, catalogues, presentations, etc.) and our website, as well as our company's social media channels. You can object to the use of your personal data for public relations purposes at any time. If you object, we will no longer process your data for these purposes. 22. Applicant portal

We appreciate your interest in working at ROEMHELD. We are aware of the importance of your data and will only process the personal data you provide in your application form for the purpose of effectively and correctly managing the application process and for contacting you during the application process. Your data will not be passed on to third parties without your consent.

You will be asked to provide personal data in the application form. We adhere to the principle of data minimization, meaning that you only need to provide us with the data we require to fully review your application documents, such as your resume, which we are legally obliged to collect. These mandatory fields are marked with an asterisk (*). For technical reasons and for legal protection, your IP address will also be processed.

Without this data, we are unfortunately unable to review your application documents, which is why our application system will not allow you to upload your application documents without it. You are, of course, free to provide voluntary information in the application form.

We implement appropriate security measures to protect the security and confidentiality of your data to the best possible extent. Your application documents are transmitted to us in encrypted form via our application system.

We store your data for the aforementioned purpose until the application process is complete and the relevant deadlines have passed, at the latest six months from receipt of a decision.

23. Downloading CAD data

We offer CAD data for our products in selected file formats to registered users.

We offer additional formats via the CAD portal TraceParts (TraceParts S.A., Parc Eco Normandie, 76430 Saint Romain, France, https://www.traceparts.com).

We have integrated corresponding links to TraceParts on our website for this purpose. When you click these links, your email address will be transferred to TraceParts and stored there for statistical purposes.

24. Privacy notice for social media
